How to Barcode Your Entire Optical Inventory in One Afternoon

Most optical shops still manage frames by memory and paper tags. Staff squint at a handwritten SKU, type it into the POS, and hope they hit the right frame. Barcodes remove the guesswork completely - and the payoff shows up at the exact moment that matters: the checkout counter.

When every item carries a scannable code, three things change overnight. First, checkout speed: scanning a frame takes under a second instead of typing a code. Second, accuracy: the barcode cannot be mistyped, so the wrong frame never makes it onto an invoice. Third, inventory truth: because every sale deducts stock automatically, you finally see what actually sells and what has been gathering dust for a year.

You do not need a warehouse or expensive hardware. A USB barcode scanner costs roughly $15-40, and any label printer works with the right label size. The software side - generating codes, printing labels, and reading them at the counter - is the part that used to be manual.

Before printing anything, decide how your codes will look. The goal is codes that are unique, short enough to print, and readable by a human when the scanner breaks. A category prefix keeps everything organized:

• Frames: prefix VS (e.g. VS000001, VS000043).
• Lenses: prefix VL (e.g. VL000001).
• Contact lenses: prefix VC (e.g. VC000001).

In Visilion, open Settings → Label Settings. You can set the barcode prefix, the next counter value, the label size, the number of copies, whether the price prints on the label, and the default printer. This is where you define the scheme once - and every item you add from then on follows it automatically.

Barcodes live on inventory items, so the items have to exist in the system first. Open Inventory and work through the three tabs - Frames, Lenses, and Lentilles (contact lenses). For each item, add:

• Name and brand - what appears on the label and invoice.
• Category - frames, lenses, or contact lenses.
• Cost and both retail prices - the normal price plus a second tier (useful for sales and promo pricing).
• Starting stock - the quantity on your shelves today.

The moment you save, Visilion generates the item's Code128 barcode automatically from your prefix scheme. If you already have a spreadsheet of your stock, you can build the inventory quickly and let the system assign every code for you.

Now the fun part - turning codes into physical stickers. Open an item and choose Barcode to print a single label, or select several rows and batch-print all of them at once. Each label shows the product name, its barcode, and (if you enabled it) the retail price.

Pick the label size that fits your stock:

Configure the copy count (one label per frame, or two if you also want a shelf copy), toggle the show-price option, and choose your default printer. Labels print through the standard Windows print pipeline, so any thermal or standard label printer works.

With labels on the shelves, the counter workflow becomes a one-second action. A USB/HID barcode scanner acts like a keyboard that types the code and presses Enter - Visilion recognizes that natively, so there is no special setup. Scan the frame, and it is added to the invoice with its price while stock deducts automatically.

For quick lookups on a phone or tablet, the built-in camera scanner reads QR and 1D barcodes from the screen - useful when a customer asks about a specific model and you want to pull it up without walking back to the shelf.

Once sales deduct stock automatically, your inventory starts telling the truth. Use it to stop wasting capital:

• Low-stock alerts warn you before a best-seller runs out, so you reorder at the right moment instead of discovering an empty slot when a customer asks.
• Movement history shows which frames sell fastest and which have sat untouched for months - the fast movers deserve reorder budget, the slow movers deserve a discount or a return.
• Category-level visibility across frames, lenses, and lentilles lets you see where your money is actually working.
